# Proofreading in the Word Add-in

> Check a contract in Word for undefined or unused terms, number mismatches, unfilled placeholders, and broken section references, and fix them as tracked changes.

Proofreading is a final check for drafting errors that are easy to miss and can cause disputes. It scans the whole document, usually in under a minute.

## Run proofreading

    The **Proofreading** screen shows the total number of issues, grouped by category. Click a category to open it.

    Click **Fix** on an item, or **Fix all** for the whole category.

    Click the refresh icon at the top to re-scan the document after your changes.

## What proofreading checks

| Category | What it finds | Example |

| **Undefined Terms Used** | Capitalized terms that are used but never defined | "Effective Date" used without a definition |
| **Number Mismatches Identified** | Numbers whose words and digits don't match | "ten (12) days" |
| **Unfilled Placeholders Found** | Placeholders in square brackets | "\[Effective Date]", "\[Customer Address]" |
| **Incorrect Section References** | References to sections that don't exist | "Section 9.3" when there is no 9.3 |
| **Defined Terms Not Used** | Terms that are defined but never used | |
| **Terms Used Without Capitalization** | Defined terms written in lowercase | "services" when "Services" is defined |

Proofreading matches text. Some flags, such as a lowercase defined term used in its ordinary meaning, don't need a change.

## How fixes work

* **Fixes are tracked changes.** Accept or reject them in Word as usual.
* **Check each fix before you apply it.** Each item shows the change it will make. For example:
  * A number mismatch keeps the words and changes the digits: "ten (12)" becomes "ten (10)".
  * A section reference fix suggests the most likely section. Make sure it's the right one.
  * A placeholder fix **deletes the placeholder**. To fill it in, type the value in the document instead.
* **The counts update when you re-run.** After you fix items, the button changes to **Fixed** or **All Fixed**. Click the refresh icon to recount.
